The 7 Questions to Ask a Supplement Distributor Before You Place Your First Order

The 7 Questions to Ask a Supplement Distributor Before You Place Your First Order

Nikhil Narayankar
For gyms, trainers and retailers

If you run a gym, train clients, or stock supplements in a shop, the supplier you choose decides your margin, your cash flow and whether a customer ever trusts what you hand them again. Before you place a first order with any supplement distributor, ask these seven questions.

The seven questions
1
Are you an authorised dealer, or a reseller?
2
What is your minimum order?
3
What margin can I actually expect?
4
Do you offer credit, and what do you need from me?
5
How fast does a reorder actually reach me?
6
What happens to damaged or near expiry stock?
7
Will you sell to the shop next door?

A distributor worth working with will answer all seven without hesitating. Here is what a good answer sounds like.

1. Are you an authorised dealer, or a reseller?

This is the question that protects your business, so ask it first. Anyone can buy stock somewhere and sell it on to you. An authorised dealer has a direct relationship with the brand, which means the product reaches your shelf through a chain the brand itself can account for.

Authorised supply chain compared with an unverified one An authorised route runs from the brand through one accountable distributor to your shelf. An unverified route passes through unknown hands. AUTHORISED ROUTE Brand Authorised distributor Your shelf One accountable step. The brand can trace the batch. UNVERIFIED ROUTE Brand Unknown seller Unknown seller Your shelf Every extra step is a point where no one can account for the product.
The number of hands between the brand and your shelf is the thing you are actually buying.

It matters because a fake or tampered tub does not cost you one sale. It costs you the customer, and in a city where gym members talk to each other, it costs you the customers they talk to. Counterfeit and repackaged supplements are a documented problem across the Indian market, and the retailer is the one standing in front of the buyer when a product does not perform.

Ask the distributor which brands they are authorised for, by name. Ask for the FSSAI licence number and check that it covers wholesale and distribution, not just retail. A licence number is a public record, so a supplier who hesitates to share one has told you something useful.

Grow Healthy is authorised for
Optimum Nutrition · GNC · MuscleTech · ESN · USN · Dominator · Kevin Levrone · Ronnie Coleman · Avvatar · Wellcore · Pintola · Alpino · RiteBite

2. What is your minimum order?

A high minimum order is the most common reason a small shop or a new gym counter never gets started. You are asked to put a large sum into stock before you know what your customers actually buy, and the guess is expensive when it is wrong.

The better question is not "how big is the minimum" but "can I start at the size that matches my footfall". A distributor confident in reorder speed does not need to force volume on a first order, because they expect you to come back.

Grow Healthy has no minimum order value. You can open with a handful of the products your regulars already ask for, watch what moves for a fortnight, and scale from evidence instead of from a guess.

3. What margin can I actually expect?

Margins in sports nutrition are not one number. They move by brand, by category and by pack size. Imported whey usually carries a tighter margin than Indian brands, because the customer already knows the online price and will check it in front of you. Bars, peanut butters, and everyday nutrition products often carry more room, and they sell to walk in customers who never came in for a supplement at all.

Be careful with any supplier who quotes you a single flat margin across their whole range. It usually means the number is either an average that hides the tight items, or it is not going to survive the first invoice.

Ask instead for brand wise margins on the products you actually intend to stock. Grow Healthy shares margins on enquiry, per brand and per category, because a real answer depends on what you are stocking.

4. Do you offer credit, and what do you need from me?

Credit is the difference between stocking what your customers ask for and stocking only what you can pay for this week. For a shop or a gym counter, cash tied up in inventory is the constraint that decides how wide your shelf can be.

Paying in advance compared with a 21 day credit period On advance payment your cash leaves on day zero. On a 21 day credit period the stock has time to sell before payment falls due. ADVANCE PAYMENT Cash leaves on day 0, then you wait for sales to return it Payment due 21 DAY CREDIT Stock is on your shelf and selling Payment due, day 21 Schematic. Timing only, not amounts.
Credit does not change what you pay. It changes when you pay it, which is what decides how wide your shelf can be.

Grow Healthy offers a 21 day credit period. To open a credit account you will need a valid GST certificate in your business name. That requirement is standard in supplement distribution, and it protects both sides: it establishes that you are a registered business, and it keeps your purchases documented for your own input credit.

If you are not GST registered yet, you can still buy, but on advance payment terms. Most owners find it worth completing registration before opening a counter, for the tax treatment alone.

5. How fast does a reorder actually reach me?

Ask about reorders, not about the first delivery. Every supplier moves quickly on a first order. What matters is the Tuesday you notice your best selling whey is down to one tub.

Reorder timeline from order to shelf You reorder, the order is dispatched the same day, and it is back on your shelf within 24 to 48 hours. You reorder WhatsApp or call Dispatched same day In transit across North Karnataka On your shelf within 24 to 48 hours ORDER TO SHELF
Hubballi, Dharwad, Belagavi and the wider North Karnataka region.

An empty shelf costs more than a thin margin. The customer who came in for a specific product and left without it usually buys it online, and the next time he needs it he does not check whether you have restocked. You lose the sale twice.

Grow Healthy dispatches the same day and delivers across Hubballi, Dharwad, Belagavi and the wider North Karnataka region in 24 to 48 hours. In practice that means you can reorder when you are low rather than carrying deep cover on every line, which frees up the cash that would otherwise sit on your shelf.

6. What happens to damaged or near expiry stock?

Here is an honest answer, and you should be suspicious of a supplier who gives you a more generous one without qualification.

Expiry and damage support depends on the brand, because the distributor is working within what each brand allows. Some brands support returns or replacement on near expiry stock. Others do not. Any distributor who promises blanket protection across every product they carry is either absorbing a cost they will recover elsewhere in your pricing, or they will find a reason to decline when you actually claim.

Grow Healthy supports expiry on a number of the brands we carry, but not all of them. The practical advice is the same whoever you buy from: ask before you order, brand by brand, and stock deeper on the lines where you are covered.

7. Will you sell to the shop next door?

Most retailers worry about this and very few ask it out loud. It is a fair question and it deserves a direct answer.

Protected territory compared with open supply With a protected territory one outlet serves the area. With open supply several outlets in the same area compete on price with identical stock. PROTECTED TERRITORY Your outlet, your area OPEN SUPPLY Same stock, same street, price war
Territory decides whether the demand you build belongs to you.

If a distributor supplies every outlet on your road, your pricing gets compared item by item, your margin gets competed away, and the work you put into building demand for a brand benefits whoever undercuts you by twenty rupees. You are effectively doing marketing for your neighbour.

Grow Healthy protects an outlet's area. When you take on a territory, we do not appoint a second outlet inside it. That is a commitment worth confirming in writing with any distributor you sign with, whoever it is, because a verbal assurance on territory is the one that tends to be forgotten.

Distributor, marketplace or direct from the brand?

An authorised distributor is not automatically the right answer for every business. Here is an honest comparison of the three routes.

Authorised distributor
Online marketplace
Direct from brand
Authenticity
Traceable to the brand
Varies by seller
Guaranteed
Minimum order
Low or none
None
Usually high
Credit

No
Negotiated, large accounts
Restock speed

Unpredictable
Scheduled cycles
Multiple brands
One account, many brands
Many sellers to manage
One account per brand
Territory

None
Contractual

If you are a large chain buying one brand in volume, going direct can work well. If you are a single shop or a gym counter carrying a spread of brands, a distributor account is usually the practical route, because you get one relationship, one invoice and one person to call when something is short.

Frequently asked questions

Do I need GST registration to buy supplements wholesale?

For a credit account, yes. A valid GST certificate in your business name is the standard requirement, and it also lets you claim input credit on your purchases. Without it you can usually still buy on advance payment terms.

Can a gym buy wholesale, or only registered shops?

Gyms can open a distributor account on the same terms as a retail shop. A gym counter is often a better first supplement business than a standalone shop, because the customers are already in the building and already training.

Can a personal trainer open a distributor account?

Yes. Trainers are one of the most natural supplement channels, because the recommendation and the purchase happen in the same conversation. You do not need a shop. A small account with no minimum order lets you supply the clients who already ask you what to take, without carrying stock you have not sold.

How do I check that a distributor is really authorised?

Ask for the brand names they are authorised for and the FSSAI licence number, then confirm the licence covers wholesale and distribution. You can also ask the brand directly. A genuine distributor will not mind you checking.

What is a normal credit period in supplement distribution?

Terms vary. Periods in the range of two to four weeks are common for established accounts, usually against GST documentation. Grow Healthy works on a 21 day credit period.

How much stock should a new counter start with?

Start narrow. Five to ten fast moving products that your existing customers already ask for by name will teach you more in two weeks than a wide first order will. Widen the range once you can see what actually sells in your location.
